How to secure evidence in an Airbnb dispute

The flat looks nothing like the photos, the host says you broke something, or a listing asked you to pay by bank transfer. Airbnb decides on evidence, and the key pieces can change within hours. Here is what to capture, in what order, and which deadlines apply.

Why Airbnb evidence disappears so quickly

Airbnb disputes are decided on documents: what the listing promised, what you found, and what was said in messages. Almost all of that is controlled by someone else. A host can replace photos, delete an amenity or rewrite the description minutes after your complaint. A fake listing is removed once reported, often together with the host profile and its message history. A guest account can be deactivated.

The rule for Airbnb is the same as for any platform: capture first, report second. Spend ten minutes preserving the listing, the profile and the chat before you press the report button or send an angry message.

A screenshot is an editable image. The other side, or Airbnb's support team, can simply say it was changed. A capture with the page source, network log, hashes and a qualified timestamp is much harder to dispute.

The Airbnb deadlines that matter

These are the timeframes in Airbnb's Help Center at the time of writing. Check the current version of each policy for your booking, because Airbnb updates them.

  • Guests: report a reservation issue under the Rebooking and Refund Policy within 72 hours of discovering it. Covered issues include no access, a host cancellation, a place that is not clean or safe, and a listing significantly different from what was advertised.
  • Hosts: file a reimbursement request in the Resolution Center within 14 days of the guest's checkout. The guest then has 24 hours to respond before you can escalate to Airbnb under host damage protection.
  • Reviews for stays: you can write one within 14 days of checkout.
  • Your statutory consumer rights are separate. Airbnb's own policy says it applies to the extent permitted by law, but missing its deadlines makes a claim much harder.

Guests: the listing does not match reality

Missing bedrooms, no working heating, a different location, dirt or a safety hazard: Airbnb asks for supporting evidence such as photos, videos or confirmation from the host. Build that evidence before you move a single piece of furniture.

  1. Capture the public listing URL immediately, while it still shows what you booked.
  2. Film the problem in one continuous take, starting from the entrance, so it is clear which property it is.
  3. Take close-up photos with timestamps and location enabled, and keep the original files.
  4. Message the host through Airbnb, not by phone or WhatsApp, and describe the problem factually.
  5. Contact Airbnb within the 72-hour window and attach your evidence. Keep receipts for any alternative accommodation.

Guests: fake listings and off-platform payment

The most common Airbnb scam asks you to pay outside the platform: by bank transfer, a payment link or a fake Airbnb-style checkout page sent by email or messenger. Airbnb's protections only cover reservations booked and paid through Airbnb, so once you pay elsewhere, the platform usually cannot help.

  • Red flags: a price far below similar listings, pressure to decide fast, a request to continue on WhatsApp or email, a link to a lookalike booking page.
  • Capture the listing, the host profile and the fake payment page before reporting them. Each is a public URL and each will disappear.
  • If you already paid, call your bank at once and ask about stopping or recalling the payment, then report to the police.

Guests: cleaning and damage claims from the host

A host can request money from you through the Resolution Center after checkout. Your best defence is evidence you created before the claim existed.

  • Take a walkthrough video on arrival, including existing scratches, stains and anything already broken, and report pre-existing damage to the host in writing.
  • Repeat the video at departure, including the keys, the kitchen and the bins.
  • Keep the house rules and listing text as they were at booking; a claim for extra cleaning is weaker if the rules never mentioned it.
  • Answer the request in the Resolution Center within the time shown there, calmly and point by point, and attach your videos.

Hosts: guest damage and AirCover for Hosts

For hosts, host damage protection is the route for damage caused by a guest. Airbnb's Help Center asks you to document the issue with photos or videos and repair or cleaning estimates or receipts.

  1. Photograph the property before every stay, so you can show the condition at check-in.
  2. Document the damage right after checkout, before cleaners start, with wide shots and close-ups.
  3. Get repair quotes or receipts and keep the purchase evidence for damaged items.
  4. File the request in the Resolution Center within 14 days of checkout. If the guest does not pay within 24 hours, or pays only part, escalate to Airbnb.
  5. Capture the guest's messages, especially admissions or excuses, in your own browser.
Do not record guests inside the property. Airbnb bans indoor cameras, and hidden recordings can also break privacy law. Photos of the empty property between stays are fine.

Unfair or retaliatory reviews

Reviews shape bookings for years. If a review about you is false, threatening or clearly written in retaliation, report it to Airbnb under its reviews policy, and preserve it before and after reporting.

  • Capture the listing page or profile where the review appears, with date and reviewer name visible.
  • Keep the booking messages that show what actually happened, for example a guest threatening a bad review unless they get a refund.
  • If the review is removed or changed, your capture shows what was published and for how long.

How to capture Airbnb evidence properly

Airbnb content comes in two kinds, and they need different tools.

Only capture what you can lawfully access with your own account. Never log into someone else's account or use fake profiles to get evidence.

Escalation: Airbnb, your bank and consumer bodies

  1. Resolution Center and messages with the other party, in writing.
  2. Airbnb support, within the policy deadline, with your captures attached.
  3. If you paid by card and Airbnb refuses a justified refund, ask your bank about a chargeback. Expect the bank to ask for evidence.
  4. Consumer bodies: in the EEA your Airbnb contract is with Airbnb Ireland UC in Dublin, so for most EU residents the dispute is cross-border and the European Consumer Centre in your country (ECC-Net) can help for free.
  5. Fraud through fake listings: report to the police with your evidence package.

In Czechia the European Consumer Centre is run by ČOI; in Germany and Austria there are dedicated Europäische Verbraucherzentren; in France, the Centre Européen des Consommateurs France. Airbnb states in its terms that it does not commit to using an alternative dispute resolution body, so good evidence matters even more.

I paid a host by bank transfer outside Airbnb. What now?

Contact your bank immediately and ask about recalling the payment, capture the listing and profile before reporting them, and file a police report. Airbnb's policies generally do not cover payments made outside the platform.
